How to take payments for your pickleball club

Most clubs take a few euro a head by Revolut, bank transfer or cash. Collecting it is the easy part. Knowing who has paid is the hard part.

ClubPad gives every booking its own payment reference, so each payment matches one person and one session. Then it lists everyone who still owes on one screen.

Set up payments

You do this once. If you made your club recently, you filled most of it in on the Getting paid step. This is where you change it.

1. On admin home, find the Collect & Confirm Payments card and tap Settings.
2. Under How members can pay, switch on the ways you take money: Revolut, Cash and Bank Transfer. At least one has to stay on.
3. Fill in the details for each one you switched on. For Revolut, your Revolut handle, plus a Revolut.me link if you have one. For bank transfer, the account name and IBAN.
4. Set a Prefix. This is a short code for your club, like SUN. It starts every booking's reference, for example SUN-LISA-4APR-7PM.
5. Under Session Defaults, choose whether unpaid bookings are cancelled automatically, and how many hours people get to pay. The default is 24.
6. Tap Save Settings.

Two things on this screen that help:

• Under the bank details, ClubPad shows exactly what members will see, so you can check the IBAN before you save.
• You can tap the star on one method to show it first on members' payment screens. This is optional.

How a payment works

Every payment has two halves. The player sends the money and says so. You check it arrived and confirm it.

Nothing is marked paid until you confirm it. Players see what they owe, for every club they play with, under My Payments on their home screen.

Confirm who has paid

On admin home, tap View Payments on the Collect & Confirm Payments card. Three numbers at the top show what is waiting. Below them, the screen has three parts:

1. Confirm Payments. People who say they have paid. Check your Revolut or bank app for their reference and the amount, then tap Confirm. If the money hasn't arrived, tap Reject and they are asked to pay again.
2. Collect Cash. Cash you are owed, listed session by session. Tap Collected when you have it.
3. All Unpaid Bookings. People who haven't said anything yet. Each one shows how long is left before the booking is cancelled. If their money arrived anyway, tap Record payment.

Open it when admin home says payments are waiting, and after any session where people paid cash.

The payment deadline

You don't have to chase anyone. With the deadline on, ClubPad does it for you:

• The clock starts when the player books, not when the session starts. It is 24 hours unless you change it.
• Halfway through, ClubPad sends them a reminder.
• If time runs out and they still haven't paid, said they have paid, or chosen cash, the booking is cancelled. The first person on the waitlist gets the spot.
• Anyone who books with less time left than that, say the evening before, has no deadline. They pay on the night.

The club default is in Payment Settings. You can change it for any one session.

Fees

• Revolut, bank transfer and cash are free on every plan. ClubPad takes no cut of them.
• The money goes straight from the player to you. ClubPad only keeps the record.
• The Card option in Payment Settings says Coming soon.
